Conference Calls: host/participant codes & secure voice

Could you please create a possibility to either manually change the access codes for conference calls (both the host and participant numbers) or to put in a request to have both these numbers changed? Currently these codes cannot be changed nor do they change over time, and I need to urgently change them to make sure a former associate will no longer be able to listen in to scheduled calls for security reasons. I just got called tech support who couldn't help with this even though they did their very best. I've looked through the existing questions and it seems that more people have the same concern. A solution would be much appreciated, the quicker the better.

i agree - the lack of unique codes was a problem when we were using the conference line to interview candidates for a position.  one meeting ran over and the next candidate dialed into the same "room."  totally embarrassing.

There is a way to schedule a conference with a different ID if you use the RC Meeting app instead. After you click the Schedule Meeting button and set the date & time, choose "Screen Share Meeting as the Meeting Type.  When you click Schedule it will populate your Outlook email with the meeting details. If you wish you can delete the URL for the web meeting but just leave the dial-in information.

we do primarily audio conferencing.  is there any sort of combination that we can use lock the conference down once everyone has arrived?

turns out there is a way to "secure" the audio conference line, so that no further participants are allowed.  you dial  *#7   yay!

I don't think this helps much when you have back to back meetings. The new callers are blocked and don't have a waiting room for the host to join the new call.

David- in the Admin portal you can set it up to where the meeting can start with or without the Host. So if you are the host and running late due to back-to-back meetings, you can still allow the callers to join the meeting.

The back to back meetings are both conference calls. I know I can do that if I am not on another conference call. Are you saying that if I secure the present conference call with *#7 where I am talking with clients from company A, and set the conference call default to allow callers to join without a host, that my next conference call with clients from company B will be able to dial in and begin a second conference without joining the first call?

David- you will want to use RingCentral Meetings instead of Conference Calling:
  • With RC Meetings a new participant code is generated with each new scheduled meeting (to provide you with the most security). That way Company B can join into the meeting and talk to each other while they wait for you to join if you are running late.  
  • With conference Calling the Host/Participant codes do not change and are always the same per user....so if your call is running late and someone dials in from Company B they will be joining your call already in session with Company A.

This reply was created from a merged topic originally titled Conference Calling: Enhance Security. The topic here is twofold.  One being that the host code and participant codes do not function as a separation of duty like they should.  For example everyone can join the call as a participant without a host present.  This should not be the case.

Second and more importantly is the security of the host and participant codes.  I am sure I use this service as most people do and that is for recurring meetings that require a conference bridge in addition to one offs.  The problem is that as people come and go from companies and 3rd parties are given dial in for specific meetings there is nothing to prevent them from accessing the same bridge at a later time.  There needs to be rolling codes or the ability to auto generate a new code as needed.  This I feel is a huge fundamental security flaw in the service. If this feature is currently being implemented what is the scheduled release date?  We hope to continue to use RC moving forward but these security implementations will drive that decision.

Regarding the 1st part of your question, please Vote on this idea topic:   Conference Call: allow conference call to start before the host joins (in User Settings)

Regarding the 2nd part,  RingCentral Meetings offers new codes for each meeting.  Once the meeting is ended, the meeting cannot be accessed later.

Kim, under the "Phones & Numbers" section for each user there is a Host Code and Participants code assigned.  These numbers remain static.  Where am I missing the new codes for each meeting.  Are you referring to something besides the conference bridge?

I understand that and agree.  I think Kim misunderstood and thought I was referring to RC Meetings and not conference calls.  I checked out the link you sent and it looks like it has been there for 4 months with no response.  I am trying to get to the bottom of whether or not this is a feature that RC plans to implement or if it is on any software development roadmap currently.  Thanks.

I do understand this question was regarding Conference Calling, however those codes cannot be changed. I was simply suggesting an alternative way to Conference Call so that you can change your codes... via RingCentral Meetings :-)

We are new RC customer and I totally agree with other's feedback on this email thread to have the ability to change the participate code with the added security measure to add a password. This is something that I would of expected to be in place by RC. Hope the product management team at RC understand security is probably once of the most important operational task for companies. I have raised this as urgent request with my RC account manager and to see the fix very soon.

It is disappointing that this issue was raised two years ago and there is still no practical solution provided by RingCentral.  As an example, if I give out my participant code to employees for a regular periodic meeting, and one employee leaves the company, he/she can then use the same code to join the same meeting.  There is no mechanism to require a password nor to change my participant code.  This is a security issue.

We are running into this too.  We've mostly used RC Meetings so are just finding that through actual conferencing there is a huge security loophole in that the Participant id always stays the same and that we can't schedule the conferences like with RC Meetings.  Yikes!
