Fax: Receive attachment in email

With our old telecom, we used to have our faxes forwarded directly into an email account, with the faxes as a PDF attachment.  That would be much easier to deal with than having to log-in to the website and download them.  We are already getting email notifications that a fax has arrived - it would be simpler to just have the fax attached rather than taking the additional step of logging in.

I think you should have Admin privileges to get access to more configuration.

But I'm the sole user of the service. I'm logged in using the only user profile on the account - isn't that Admin?

Interesting... you should have an "Advanced Option", please ask to the support team at (888) 898-4591, because the screens shared by Mike in the previous post are from the Portal as Admin.

Where on the portal do you even specify user level (e.g. Admin)?

Hi, I am having issue for last 2 weeks , that I am unable to received attachments of the incoming fax on one of two ringcentral accounts?

My second account is working well, without any issue. 

Can I get some help in resolving the attachment issue to incoming fax directed to email account?

Currently I have to logon to website to see the attachment and this was not the case before.

From the Notifications screen click the Advanced link as shown below.  Then  (see 2nd image), you'll have an option to receive the faxes as attachments with the email. 

Note:   This option is not available on HIPAA accounts.

My Notifications screen does not show all of these options, including and most importantly, the Advanced Notification Options link.  Has it been moved?  Removed?

Hi Marty,   It looks like you signed up for a HIPAA complaint account.  This prevents you from being able to receive faxes via email attachment.

I can't see that option either; Is that how we know if we have a HIPAA compliant account? How do we switch?

That is goofy because we are sending the documents out from our computer!? I really just want an attachment with the Cover Page that was added when we sent the fax. I know what I sent, but would LOVE it if you attached the cover page, if created, to the fax sent confirmation email.

Yes, if you don't see that option you are a HIPAA compliant account. The Super Admin on the account can change this via the web portal or you can always contact your account manager to switch over.

Mike, are there plans to change this?? Because there are plenty of HIPAA compliant fax services that deliver faxes via email...its as simple as requiring TLS and verifying a cert.

Hi Joseph,  I don't know when, or if this will ever be made possible as there were several functions that were removed in order to make it HIPAA compliant.  Do you have the name of any of the other companies that do this within HIPAA compliance rules?  If so I'll share them with our product team.

@Mike, Official Rep, what if the customer's email service does not support attachments over the size of 10 mbs? If we select "include attachment with email", and the attachment size is greater than 10 mbs, will we still receive the notification email? Also, from the admin portal, should I want to send a fax received by email to someone else, is there a way for me to tell how large the attachment will be before I send it?

Hello Rodriguez,

Regarding the 10 MB size and whether or not it will be received, I would imagine not but is that number regarding sending files or receiving them? If there is no limit on the size of files received you should be fine but I know some emails don't allow you to send over a certain size.

Our webportal doesn't give a size estimate of the files being faxed, however, you could always check the file information before sending it to see what the size is.

I have the attachment box checked, but do not receive attached faxes, yet do for voicemails (not HIPAA)...

Do you have this boxed checked?


You can find it under Messages & Notifications -> Settings -> Advanced Settings -> Customize Notifications under Received Faxes

It looks like that I have to go to every user account and manually uncheck "Include attachment via email" for every user.
Is there a global Admin override so that:
1. it unchecks for all users in my enterprise
2. does not allow them to check back in
